As consumers come to expect more rich listing media, we are creating enhancements to ensure that floor plans, videos, and virtual tours are treated as distinct and valuable media types. Soon, the Photos tab on the Listing Detail Page will have clickable categories for navigating floor plans, videos, and virtual tours, rather than having all media in set positions in the carousel—making these types of media highly visible and easy to find. These enhancements will be visible on Flexmls desktop, Flexmls mobile, and the Flexmls app for both Android and iOS. If a listing only contains photos, these new categories will not display. 

These enhancements improve the visibility of listings with rich media for agents and provide a better experience for consumers. 

This is what the Photos tab on the Listing Detail Page looks like for listings with floor plans, videos, and virtual tours. 

You can click on each category to view the media. Each media category shows the quantity in parentheses; for example, the Videos category shows that this listing contains two videos. 

And below is an example of how the Photos tab displays for a listing without rich media. For listings without rich media, the media categories do not display.

What is changing? 

Floor Plans Now Have Their Own Media Category
When editing or adding a listing, there will be a new section called Floor Plans, where you can upload floor plans. The process to upload and manage a floor plan will be similar to the current process for uploading and managing photos. 

Accepted file types for floor plans include all currently accepted photo file types (JPG, JPEG, PNG, GIF, HEIC, BMP, TIF, TIFF, PBM). Maximum accepted file sizes are also the same as maximum accepted photo sizes (15 MB or 3000 x 2000 pixels). PDFs are not currently an accepted file type for floor plans. MLS watermarks will also be applied to all uploaded floor plans.  

Improved Display for Floor Plans When Searching
Listings with a floor plan will now have a “Floor Plan” tag on Android, Mobile Web, and Portals, similar to the 3D Tours or Price Change tags you see today. Users are also able to search for listings with floor plans in Quick Search using the Additional Search Options. Learn how with our guided tour.

FlōPlan Floor Plans
Any FlōPlan floor plans that are currently linked to listings will automatically be migrated to the new floor plan category on the FlōPlan sunset date (1/31/2025). Because of feedback from Flexmls users like you, we’ve made some exciting updates to the portal* that give you more flexibility to customize the branding and listings on your portal homepage for your agent or office portal. You can now create a public-facing profile that includes a marketing name, contact info, and About Me section that displays separately from your Flexmls profile. You can also select an option to display your listings, office listings, or listings from a saved search. Any updates to the profile section on the Portal Preferences page will carry through to the portal search experience and will replace any Flexmls branding on the portal. Agent contact information will also be available from any page. These new options allow you and your consumers a more custom, personal experience.

What is changing? 
Under Portal Preferences, we have added two new sections: Profile Card and Featured Listings.

Under Profile Card, turn the toggle ON to sync your contact info from your current Flexmls profile. Turn the toggle OFF to create new contact details (separate from your Flexmls profile) to display on your portal, as allowed by your MLS.

If you turn “Sync from profile” off, you will be able to enter new contact details. You also have the option to display a photo or logo. 

Under Featured Listings, you can choose to display your listings, your office listings, or listings from a saved search.

As we continue to improve the way you search for listings in Flexmls, we are focused on enhancing our mobile platforms to give you an easy and more intuitive search experience. We are excited to share some new updates that will be available for iOS.

When is this live?
This change will go live on August 27, 2024 in the Flexmls for Real Estate Pros iOS app. If you don’t see filtering updates, look out for an available app update.

What is changing? 

Filters will now be grouped into sections based on relevance. For example, template-defined location fields are conveniently grouped together at the top of the search template, and the same familiar search templates available on Flexmls desktop will be available on the Filter screen for easier access. 

You also have extended filtering functionality to limit or widen a search using and, or, and not logic.

To keep the flow intuitive, we have also moved the Reset and Add Field buttons to the bottom of the screen in a single action bar.

We are excited to deliver another enhancement focused on data quality and agent efficiency through our partnership with iGUIDE. If you have an iGUIDE virtual tour, with just one click, you can now upload that virtual tour to your listing and have the room dimensions,  room names, and room level auto-populated using the data extracted from the virtual tour while adding or editing a listing. When is this available?

See how you can take advantage of this feature that makes work easier while helping improve listing accuracy by minimizing errors:

First, upload an iGUIDE virtual tour to your listing the same way you’ve always uploaded virtual tours. For information on adding a virtual tour to your listing, refer to this Flexmls Help article

Once you’ve uploaded your iGUIDE virtual tour, you will see a prompt asking if you would like your Rooms data on your listing to be auto-populated. This data is extracted from the virtual tour with iGUIDE’s technology.

If you select Add Data to have your Rooms data auto-populated from your iGUIDE virtual tour, you will be taken back to the Rooms section to review the data that has now been entered. Any previous Rooms data that had been entered when creating the listing will be overwritten by the iGUIDE data. 

Rooms data that will be filled based on the virtual tour includes: room name, level, and size.  And once the data is populated from the iGUIDE virtual tour, you can still change or update any Rooms information if you wish to do so. 

In addition to the new functionality above, now, when you look at an iGUIDE virtual tour on a listing in Quick Search, you can view that virtual tour in Flexmls as an embedded experience rather than having the virtual tour open in a new browser window as it previously did.

This integration leverages AI-powered property intelligence from digital twins to save you time and streamline the listing entry process. First, upload a Matterport digital twin to the listing the same way as always. For information on adding a virtual tour to a listing, refer to this Flexmls Help article

Once a Matterport digital twin has been uploaded, you will see a prompt asking if you would like your Rooms data on your listing to be auto-populated. This data is extracted from the digital twin by Matterport’s AI property intelligence. 

If you select Add Data to have your Rooms data auto-populated from your Matterport digital twin, you will be taken back to the Rooms section to review the data that has now been entered. Any previous Rooms data that had been entered when creating the listing will be overwritten by the Matterport data.

We’ve created a new mobile and portal search experience that is faster, more intuitive, and tailored to agent needs.  This new experience brings popular desktop features to the mobile experience, bringing us closer to our goal of complete consistency across platforms. 

When is this available?

Where is this available? 

This search experience will be released to the Flexmls Mobile website (m.flexmls.com), the Android Agent app, and Portals. You can expect to see updates to iOS by the end of the year. 

What’s New? 

This new search brings a familiar workflow from desktop to mobile search, allowing you to search (filter based on specific criteria), find (view search results), and act (share a listing, use third party integrations, etc.) via expandable and collapsible panels. 

 

Step 1 – Search:
Use the filter panel to specify your search criteria. This is where you will select your search template and fill out fields you wish to search on. You may already be familiar with this panel, as it was part of our mobile updates in 2023

Step 2 – Find: 

In the middle section, you can see your search results based on the filters you specified in Step 1. Here, you have different options for viewing your results, including our new Summary View and Stats View, as well as the familiar List View and Map View. 

Summary View

In your search results, the new Summary View gives you all the important property information at a glance, without having to select each individual listing. This view now shows a large main photo while also displaying the most important property information, customized by an agent’s selected View. With this view, you don’t have to load the full listing to complete actions like sharing a listing or viewing showing info. You can do it right here in the Summary View. You also have access to these actions in the List View. 

Stats View

You can be a market expert even on-the-go. The Stats Tab, previously only available on desktop, is now on mobile too. The Stats tab allows you to find statistical data for all the listings in your current search. For any search, you can easily access Average, Median, Low, and High values for key indicators like price, size, and time on market.

Step 3 – Act: 

Now that you’ve searched and viewed listings, you can choose the action you want to take in the new Toolbox panel. Whether you want to share the listing with a client or add it to a customer collection, you can do it on-the-go. 

Toolbox Panel

The Toolbox panel is where you can take action with your search and listing. It includes the options for sharing or saving searches, working with third-party integrations, sharing a listing, hiding or recommending to a contact, and more.

Blue Action Bar

We’ve provided one consistent place to make it easier and more convenient to take the next step on a specific listing. With the blue action bar, you can: quickly copy a listing URL, share and recommend a listing, search comps, view showing info, report an error, take action with a third-party application, and more. 

 

Save This Search

Quickly name and save a search using the new Save This Search option. Simply type in the name you want to call your search at the top bar labeled “Save This Search.” You will then be able to access the search from your Saved Searches.

Get ready to search like never before with map overlays! Soon, the Flexmls for Real Estate Pros iOS app will include a map overlays enhancement, making these overlays available anywhere you access Flexmls. If you’re new to map overlays, these are additional layers that outline areas such as counties, parcels, and flood zones right on the map. This allows you to easily see the map information that’s important to you.

Note: All these enhancements are already available today on Flexmls Web and Android apps.

When Will It Change?
This update will be available on November 28, 2023.

What Will Change?
We’re adding new functions to the map toolbar in the Flexmls for Real Estate Pros iOS app so that it is available anywhere you access Flexmls.

Previously, the Layers icon could be used to switch between the standard, hybrid, or satellite view. With this enhancement, the Layers icon can also be used to select from available MLS map overlays. Agents can also select their own map overlays.

If the selected map overlay includes a key or legend, a key icon will be displayed in the map toolbar. Click on the key for more information about identifiers used in the map overlay.

As part of our commitment to making Flexmls as easy, efficient, and seamless as possible, we have now added the ability to add and manage multiple Flexmls accounts within the Flexmls Pro App for iOS and Android. Previously, users had to repeatedly log in and out of the app in order to access different Flexmls accounts. Now, you can conveniently access all your Flexmls accounts and toggle between them—allowing for a simpler, more streamlined user experience. 

Learn how to set up your accounts for easy access at the link and steps below. 

To set up multiple accounts in the Flexmls Pro App: 

  1. Login with username A as normal.
  2. Tap More > Log Out
  3. Go back to login and delete username A and enter username B. 
  4. Tap Next and enter in the password for username B. 
  5. Tap Login. Once that is complete, you can go to More and then switch between the accounts as needed. After accounts are added, they are securely stored within the app, ensuring the privacy and integrity of user data.

Tip: Click More and view the top line to check which account you are currently using.

We are focused on an enhanced user experience on mobile, allowing you to search faster and more easily. You may have noticed some recent enhancements when searching on the Flexmls for Real Estate Pros Android App and the Flexmls Mobile website (m.flexmls.com). Check out some of the updates below!

Filters for searching are now in a left side panel instead of a pop-up, with the map displaying on the right on the Flexmls Mobile website (m.flexmls.com), instead of listings. On the Flexmls for Real Estate Pros Android App now the map will display when beginning a new search, instead of listings.

Filters are now organized into sections based on relevance (e.g. all location filters are grouped together). Use the checkboxes to modify your search using multiple filters at once. Unchecked boxes will not filter or affect search results. In this example Property Type of Residential is disabled and will not affect results.

Expand or collapse a field to declutter the interface and only show filters relevant to your search.
The “Add Field” button now scrolls when you scroll making it easy to add a field at any point.

All of these updates provide a more intuitive workflow when searching on mobile. You can filter results before displaying your listings, modify your search criteria without disrupting your workflow, and more easily customize the interface with the filters that you use the most. We hope this new workflow helps you search quickly and easily!

As part of our continued efforts to improve the user interface for Flexmls, our newest updates include a refreshed look for the Market Summary Report and the Market Trends Graphs (previously My Market). In addition to an updated look, the Market Trends Graphs will be revamped to offer a more intuitive and interactive way for you to analyze the data.

These updates will be available on March 23, 2023.

You are still able to filter your data by a Quick Search or a Saved Search. You can also filter your data by selecting or deselecting the circles in the legend at the bottom of the graph, if more than one option is present. A new tab style display easily shows different data sets (Days on Market, Months of Inventory, etc…), and the simplified single-axis style makes graphs easier and faster to interpret.

You are able to show or hide the data table.

Just as in the My Market report, you are still able to slice and dice the data by filtering the Market Trends Graphs to get the information that you need.

You are now able to change the order in which rooms are displayed when looking at Listing Details. Under the Rooms tab in Flexmls desktop, you can control the order that rooms display by dragging and dropping the room cards when adding or editing a listing. The order of rooms you designate will be reflected in the Listing Detail section on the Flexmls For Real Estate Pros Android App and the Flexmls Mobile website (m.flexmls.com). We have also simplified the display of rooms on mobile, making it easier to quickly scan room details.

Note: Your MLS may have custom programming related to rooms, requiring a set order when displaying rooms.

This update will be available on November 3, 2022.

What Will Change?

You are now able to drag and drop rooms to quickly and easily reorder them on the Rooms tab when adding or changing a listing. How rooms are ordered will be reflected and displayed on the Listing Detail section on mobile. Depending on how your MLS listing reports are set up, the room order may also be reflected and displayed on the Detail tab for the listing in Search Results.

On mobile, the Rooms section under Listing Details can now be collapsed or expanded. Once expanded, it allows for an easy scan of room details on the Flexmls For Real Estate Pros Android App and the Flexmls Mobile website (m.flexmls.com).

Looking for easy stats to compare search results listings? As part of our continued work providing user interface (UI) updates to many Flexmls pages, we have revamped our Quick Search Stats tab, formerly known as the Compare tab.

When Will it Change?

This update will be available on October 27, 2022.

What Will Change? 

To make the Flexmls experience more user friendly, we’ve streamlined the statistical information in this tab and prioritized the data that is most important for you. We have also decluttered this tab by removing extraneous information, so you can quickly find the important information you need. 

In the Stats tab, you can find statistical data for all the listings in the current search. For any search, you can easily access Average, Median, Low, and High  values for key indicators like price, size, and time on market.  

Below you can see the refreshed look for the different sections of the Stats tab.

In the Stats tab, you can view listings by status.
You can also view the average, median, low and high values for original price, list price, sale price, DOM, CDOM, ADOM (if your MLS uses these), sold/list ratios, price change, and percent price change. This information is now in one tab, so you can find it much more easily. Note: The DOM/ADOM/CDOM portions in these stats are only for listings whose DOM has stopped calculating, i.e., listings that are off-market.
The Days on Market section shows statistics based on Days on Market.
The Agent Days on Market section shows statistics based on Agent Days on Market, if your MLS uses ADOM.
The Cumulative Days on Market section shows statistics based on Cumulative Days on Market, if your MLS uses CDOM.

We are committed to helping you get tasks done in Flexmls as quickly as possible. You can now find comps even faster with our new 1-click Comparable Search in Quick Launch, which will replace the current ¼ mile radius search. When searching by address or MLS number, your Comparable Search results will be filtered by preferences you set in the new Comparables tab under General Preferences. These preferences include common comparable filters like radius, price, status, beds, baths, square footage, etc… 

These search results are a great starting point for either a CMA or Subscription. The Comparable Search will also be accessible from the Detail Page in Search Results.

Search by address or MLS number to run a comparable search in Quick Launch.
Comparable Search results will be filtered by user defined settings under General Preferences > Comparables.

Note: If you do not enter any filters under the Comparables tab in General Preferences, the Comparables Search will show results for a ¼ mile radius search on Active, Pending and Closed listings with the exact number of beds and baths as the address or MLS number you are searching.

The Comparable Search feature will also be accessible from the Listing Detail Page

The comparable search feature is available on mobile in both the Flexmls For Real Estate Pros for iOS and Android App and the Flexmls Mobile website (m.flexmls.com). Access Search Comparables from the ellipsis icon on a listing in both apps, and as a search option available from Quick Launch.

Want easier access to nearby listings for a specific address? You can now quickly perform a ¼ mile radius search in Quick Launch on Flexmls desktop. 

When Will it Change?

This update will be available on July 28, 2022.

What Will Change? 

Quick Launch searching now includes a ¼ mile radius search results. Simply type an address you want to search in the Quick Launch bar and select that address in the “¼ Mile Radius Search” section in the drop-down menu. Selecting the address you want to search will display a list of search results within a ¼ mile radius of that address, filtered by listing statuses defaulted by your MLS. 

Begin typing an address and select the address you want to use to perform a ¼ mile radius search.

Your radius search is automatically drawn with your MLS’s default statuses selected. You can then continue to filter your search results.

Select the List tab to see all results from your search.

Did you know that on average, it takes a person about 90 minutes to open an email, but only 90 seconds to open a text? In this fast-moving real estate market, it is crucial to be able to communicate with your buyers fast and easily. After hearing from our users, we’re happy to share that you will soon be able to share single or multiple listings from Flexmls Desktop to homebuyers via text message. Check it out below!

When Will It Change?

This change will be rolling out slowly to all our customers. If you don’t see it, it will be coming to your MLS soon. 

What Will Change? 

You will now be able to share single or multiple listing(s) from Flexmls Desktop to Homebuyers via text message. You can access this new text message feature from the Share button on the Quick Search and Change Listing page.

Before you can start sharing listings with your clients, there is a 1 time opt-in that will need to occur. Follow the steps above in this GIF to send your contacts an opt-in request. While waiting for them to opt in, you will have the option to share the listing as an email instead.

Once your client has accepted the opt-in request, you can start sharing listings with them via text message. The steps above are an example of how to send a selected listing from the Quick Search page.

 

You will also be able to share listing(s) via text message from the Change Listing page. 

You are also able to invite clients to opt in to text messages from the Contact Management page on desktop. Here you can send the invitation to opt in or reinvite if they have previously opted out. 

Curious What the Opt-In Statuses Mean?

Status appears as plain text.  Actions (if any) appear as links.

What is your Homebuyer seeing?

Once you have sent your client the opt-in request, they will receive an email asking them to confirm that they would like to receive listings manually sent via text message. You will then receive an email notifying you of their opt-in status.

Once your client has opted in to receive text messages, they will be able to receive links to listing(s) that you share, as well as a notice that replies are unmonitored. From there, they can open the link and view the listing(s) on their phone.

For international phone numbers, there is an additional dropdown to select your contacts’ country code when entering their phone number under Contact Management, or when adding a new contact during the Share via Text process.

In an effort to make it easier for you to manage listings wherever, whenever–we are excited to start rolling out multiple enhancements for Listing Entry and Listing Maintenance over the next few months. Our first round of updates will allow you the ability to view, edit media, and remove incomplete listings on the Flexmls For Real Estate Pros App and the Flexmls Mobile website (m.flexmls.com).

This update is just the first of many. We will continue to focus on improvements to make listing entry and maintenance faster, with more accurate and in-depth data.

What Will Change?
There will now be a menu item under the profile menu for Incomplete Listings. Here you will be able to view any incomplete listings you have access to on Flexmls desktop. You will then be able to edit or delete an incomplete listing from your mobile device. Editing will allow you to make changes to photos, documents, videos, and virtual tours.

We’re constantly looking for ways to improve the Flexmls experience for you, and that includes a seamless experience from desktop to mobile. With that, we’ve expanded our mobile search feature on the Flexmls For Real Estate Pros Android App and the Flexmls Mobile website (m.flexmls.com) to now include the option to draw and filter searches by multiple shapes—a feature which was only previously available on desktop. With this new feature, you can now choose to draw a rectangle, circle, or custom polygon, and filter your searches by as many shapes as you would like. Additionally, saved searches from desktop will now display the shapes in mobile and vice versa, for both you and homebuyers. Beckyallie

Out with the old and in with the new! It’s the perfect time for some spring cleaning in Flexmls.

We’re committed to constantly improving the Flexmls System, making it faster and easier for you to get in, get your work done, and get out as quickly as possible. With that, we’ll be refreshing many Flexmls pages to provide greater consistency and a refreshed look and feel across the system during the next 2-3 months. These changes will not affect workflow. This will be the first round of updates. We will continue to share progress on this project as new changes go live.

When Will It Change?
On March 10, 2022, the General Preferences page will be updated. More updates to the other Flexmls pages will be rolled out over the next 2-3 months.

While we will still use emails to communicate about new features, we hope that the new notification center will result in fewer emails from us in your inbox overall. What Will Change?
When logged into Flexmls, users will now be able to access the in-app notification center through a bell icon in the upper right corner.

Clicking the bell icon will open a notification center that will show Flexmls news updates in chronological order. Color coded categories tell you if you are looking at product news, a short tip video, or recorded training. Click on any announcement to learn more and leave reactions that give Flexmls instant feedback. You can also use the search bar to revisit older announcements without digging through your email!

As part of the continuing effort to refine and modernize Quick Search, we’re removing the private note icon and the Messages tab from the search page to reduce visual clutter. Based on data collected by FBS, usage of these features has been steadily declining. By retiring redundant or little-used resources, we can focus on creating and maintaining industry-leading software that helps you get your job done.

Note: Messaging will remain available via My Messages; only the Quick Search Messages tab will be removed.

What Will Change?
With this change, the private note icon, which allows members to create notes that are visible only to themselves, will be removed from Quick Search.

The Messages tab will also be removed from Quick Search. The Messages tab contains the same information as the My Messages page in Flexmls.

Messages and existing private notes will still be accessible via My Messages. Private notes have “Note” in the Who column on the My Messages page.

We’re refreshing the look of the Add/Change Listing pages to bring you a better user experience! The function of the pages will remain unchanged, and you’ll see familiar tabs and fields in the same locations. This change gives the Add Listing and Change Listing pages a modern look that more closely matches the experience on other Flexmls pages and on mobile devices. 

When Will It Change?
This update will be available on June 17, 2021.

What Will Change?
Tabs, buttons, and colors will be updated to match the more modern UI of newer Flexmls pages. Most noticeably, the display of required fields will be streamlined. Previously, the entire row was highlighted when a field was required. Field names were displayed in red and inside brackets. With this change, names of required fields will be displayed in red text with an asterisk, and rows will not be highlighted.

 

Note: Use the Show menu in the upper right corner to more easily identify required fields. You can choose to show all fields, required fields only, or empty required fields only.

This update is just the first step in the process of modernizing these pages. We know that more updates are needed, and we will continue to improve this critical function while minimizing the impact to you.

We’re excited to announce a new search results enhancement on the Flexmls For Real Estate Pros Android App and the Flexmls Mobile website (m.flexmls.com). We’ve added a Filter by map bounds check box and when checked, only the listings that are currently visible on the map will be displayed in the list. If you click on the map and zoom in or out, the number of listings in the Photos and List views will change. When you uncheck the Filter by map bounds, your List view will show all results, not just those displayed on the Map view. 

When Will It Change?
This update is available now.

What Has Changed?
Previously, search results on mobile were automatically restricted based on the visible map area. Unmapped listings or listings that fell outside of the map boundaries were not included in the Photos or List views. With this change, you control whether search results are restricted based on the map.

We’ve added the Filter by map bounds check box on the mobile search results page. When the box is not checked, all listings that meet the search criteria are included in the Photos view and List view.

When you click the Filter by map bounds check box, only the listings that are currently visible on the map will be displayed in the list. If you click on the map and zoom in or out, the number of listings in the Photos and List views will change.

As of May 31, 2021, the Internet Explorer web browser will no longer be supported for use with the Flexmls System. Internet Explorer is no longer being actively developed by Microsoft, and it is used by only a small percentage of Flexmls users.

If you’re currently using Internet Explorer, we recommend that you start using a supported browser as soon as possible. Flexmls works best with the most current version of Edge, Chrome, Safari, or Firefox. For more information, see the Browser Compatibility page for Flexmls.

Ending support means that we cannot guarantee that Flexmls will work properly with Internet Explorer. If you’re using Internet Explorer and you encounter an issue, we will advise you to install a recommended browser. Running the most up-to-date version of your browser is a good practice for security reasons and to take advantage of the newest features of the browser.

We’re excited to introduce a new, combined video and virtual tour entry page that has an updated, modern look and is easier to use. The ability to manage this media from a single page will make the entry process more seamless and help alleviate entry errors. We’re also adding the ability to manage videos and virtual tours from a mobile device. This change will occur on the following platforms: Flexmls Web, the Flexmls For Real Estate Pros Android App, and the Flexmls Mobile website (m.flexmls.com).

Note: This update is also coming soon to the Flexmls For Real Estate Pros iOS App. We’ll send another announcement when it becomes available.

What Will Change?
Soon you’ll be able to add, edit and manage both videos and virtual tours from a single page. The options for managing videos and virtual tours will be consistent, making the process easier to understand and helping you avoid errors.

Manage Videos and Virtual Tours on Mobile
With this update you’ll be able to add, edit, and manage videos and virtual tours via mobile devices. The new video and virtual tour entry page will be added to the Flexmls For Real Estate Pros Android App and the Flexmls Mobile website (m.flexmls.com). 

Change Listing Page
On the Change Listing page, both videos and virtual tours will be accessed via a single link. The link shows the number of videos and virtual tours that have already been added to the listing.

Videos and Virtual Tours Page
The new, combined Videos and Virtual Tours page contains a Videos section and a Virtual Tours section. Within each section, you can drag and drop items to change their order. Each video and virtual tour is labeled with its Public/Private/Private While Off Market status.

Click the More (three dots) button to access Edit, Preview, and Remove options for a video or virtual tour. When you preview a video, a new pop-up window opens where you can view the video. When you preview a virtual tour, it opens in a new browser tab.

Add Video/Add Virtual Tour Page
On the new Videos and Virtual Tours page, click the Add Video button to add a new video or click the Add Virtual Tour button to add a new virtual tour. The entry fields are the same for each type of media.

In the pop-up window, you’ll enter a description and a URL or embed code. Select the checkbox if the video or virtual tour contains branding. When you select the check box, an additional field is displayed where you can enter an alternate, unbranded URL or embed code. You can also select whether the video or virtual tour is Public, Private, or Private While Off-Market.

Note: An embed code is the most reliable way to ensure that videos play on third-party websites. However, if you enter a URL for a video, Flexmls will attempt to generate a valid embed code for you.

While listing photos are often the main focus for homebuyers, we know that you frequently need to view data about multiple listings at once. That’s why we’ve added a new List view on the search results page of the Flexmls For Real Estate Pros Android App and the Flexmls Mobile website (m.flexmls.com). You will soon be able to toggle between the Photos view and the List view with the click of a button, allowing you to more quickly access the information you need to compare listings. 

When Will It Change?
This update will be available on February 11, 2021.

What Will Change?
Currently, a Share button and a More (three dots) menu are displayed at the top of the search results page on the Flexmls For Real Estate Pros Android App and the Flexmls Mobile website. With this change, instead of the Share button, a toggle between the Photos view and the List view will be displayed. The Share option will be moved under the More (three dots) menu.

By default, the Photos view is toggled on. Click List to switch to the list view. Columns in the list view have a fixed size, and the same columns are displayed for all property types. (If a property type does not include a field, the column data will be blank.) On smaller mobile devices, you can scroll to the right or switch to landscape mode to see all columns and the More (three dots) menu for each individual listing.

Tried and true, it’s still all about location. Because location is one of the most important factors in a home search, we’re bringing an updated location search experience to  the Flexmls For Real Estate Professionals App (Android) and the Flexmls Mobile website (m.flexmls.com). Now all of your location fields are conveniently located in a group at the top of the Filters page when you search for properties.

When Will It Change?
This update is available now for the Flexmls For Real Estate Professionals App (Android) and the Flexmls Mobile website (m.flexmls.com).

What Has Changed on Mobile Web & Android?
Previously, the Location search bar was displayed at the top of the Filters page, and you could use it to search on any location field. To see the individual location fields included in the Quick Search template, you needed to scroll through the rest of the filters on the page. If you added a location field to the filters, it would appear at the bottom of the list.

With this change, the Location Search bar is still available, but all of the location fields included in the Quick Search template are also grouped in a Location section at the top of the Filter page. If you add a location field, it will appear in the Location group at the top of the page rather than at the bottom of the filter list.

Will These Changes Be Coming To Flexmls Web?
Previously we announced that the new location field group at the top of the search pane in Quick Search in Flexmls Web was going to be released to all MLSs. After further development, we are reevaluating how these changes will impact individual MLSs. We will be in contact when we have new launch dates and details available for bringing the new location search experience to Flexmls Web.

Why Are We Making These Changes?
This change is part of a project to improve location searching in the Flexmls Platform.

This update will be available on October 29, 2020.

What Will Change?
On the Saved Searches page, the Listing Collections page, and the Subscriptions page, we’re adding checkboxes to enable you to select and work with multiple items. When you select items by using the checkboxes, buttons for bulk actions become available at the top of the page.

Bulk Delete Saved Searches
Currently on the Saved Searches page, you can use the Delete option in the More (three dots) menu to delete an individual saved search. With this change, you can use the checkboxes to select multiple saved searches, and then delete all selected using the Delete button at the top of the page.

Bulk Delete Listing Collections
Currently on the Listing Collections page, you can use the Delete option in the More (three dots) menu to delete an individual listing collection. With this change, you can use the checkboxes to select multiple listing collections, and then delete all selected using the Delete button at the top of the page.

Bulk Delete Subscriptions or Remove Notifications
Currently on the Subscriptions page, you can use the Edit subscription and Delete subscription options in the More (three dots) menu to modify or delete an individual subscription.

With this change, you can use the checkboxes to select multiple subscriptions, and then use the buttons at the top of the page to work with multiple subscriptions. The following bulk actions will be available:

  • Delete – Delete all selected subscriptions.
  • Remove Agent Notification – Stop receiving an agent copy of each email that is sent via the subscription.
  • Remove Contact Click Notification – Stop receiving a notification email when the contact clicks a link in a subscription email.

When you report listing errors, MLS data quality improves. That’s why we’re making the Report Violation button more prominent. On larger screens, the button will appear in the top button bar of the Quick Search page by default. On smaller screens, the Report Violation button and the CMA button will move under the More (three dots) menu. 

Note: The name of this option might be different in your MLS. Some MLSs choose a name such as “Report Error” or “Suggest Correction” instead.

When Will It Change?

What Will Change?
Currently, the Report Violation button always appears under the More (three dots) menu on the Quick Search page.

With this change, the button will appear in the top button bar on larger screens.

On smaller screens, the Report Violation button and the CMA button will move under the More (three dots) menu.

Error reporting by members is a key method of ensuring data quality for many MLSs. This change makes the error reporting function more noticeable.

We’re making enhancements to Quick Search views to help you save time and streamline your workflows. Soon you’ll be able to assign a view to a Quick Search template without the extra work of creating a custom template. Previously, when you changed the view, it was only used during that specific search session. 

When Will It Change?
This update will be available on August 13, 2020.

What Will Change?
Each Quick Search template (for example, Residential) has a default view that controls which columns are displayed on the List tab of search results. To display a different set of columns, you can select a different view. 

Previously when you changed the view, it was only used during your current search session. The next time you searched using the same template, the List tab reverted to the default view. To permanently assign a different view, you had to create your own Quick Search template with that view assigned.

With this change, Quick Search will remember the last view that you used with a template. The next time you begin a Quick Search with that template, the view you selected is used by default. 

For example, assume that you perform a Quick Search using the Residential template and you change the view from Default Residential to Hot Sheet. The next time you begin a Quick Search with the Residential template, the List tab of the search results page will use the Hot Sheet view.

Why Are We Making These Changes?
We’re dedicated to providing you with the best search experience possible in Flexmls. This enhancement benefits all Quick Search users by making template customization faster and easier. We’re fine-tuning Quick Search templates and views to make it easier for you to save modified versions that work for you. 

When Will It Change?
This update will be available on July 23, 2020.

What Will Change?
The MLS provides default Quick Search templates and views that are inherited by all members. When you edit an inherited Quick Search template or view, you are actually making a personal copy with your changes. You can’t edit the original inherited template or view. 

Currently, it can be difficult to tell whether you are working with an inherited version or a personal copy. With these enhancements, we’re providing additional information and cues in the user interface to make the process clearer. 

Quick Search Templates
To create or edit Quick Search templates, click My Quick Searches under Preferences on the menu. Select an inherited template and click Edit.

The name of the Edit Quick Search Template page will change to Create Template from [template name]

By default, the Quick Search Name will be blank, rather than being auto-populated with the name of the inherited template. It’s a required field, so a red asterisk will be added next to the label.

Views
To create or edit Quick Search views, click My Views under Preferences on the menu. Select an inherited view and click Edit.

On the General tab of the Edit View page, the “Description” field label will change to “Name” and a red asterisk will indicate that it’s a required field. Both the Name and Report Description fields will be blank rather than being auto-populated with the name and description of the inherited view.

An information icon and tooltip will appear next to the Report Description field, clarifying that the Report Description appears on the list of results in printed and emailed reports.

Your work can happen anytime, everywhere. That’s why we’re excited to introduce the ability to add an open house to a listing (as allowed by your MLS) right from your Flexmls app (iOS & Android). 

With this mobile enhancement, the Flexmls Web version of the Open Houses page will also receive a visual refresh to make it easier to use and to provide a more consistent experience on all platforms. You’ll also notice a terminology change to align with RESO standards. “Virtual Open House” will change to “Livestream Open House” and “Virtual Tour of Homes” will change to “Livestream Tour of Homes.” 

When Will It Change?
This update will be available on July 16, 2020.

Who Does This Benefit?
Members without access to a computer will be able to add or edit open houses at any time, in any place, as long as they have their mobile device and the Flexmls app or a mobile browser.

What Will Change?
If your MLS currently allows you to add or edit open houses from Flexmls Web, soon you will have convenient access to open houses right from your Flexmls app (iOS & Android.

Add or Edit Open Houses On The Go
Starting in your Flexmls app (iOS & Android) or from Flexmls Mobile Web, navigate to the detail page for a listing, click the Edit button, then click Open House in the Scheduled Marketing Activities section of the page.

When you click this option, a new Open Houses page will open. Click the Add button to create a new open house event. To edit an existing open house, click the More (three dots) menu, then click Edit Open House or Remove Open House.

Add or Edit Open Houses in Flexmls Web
This enhancement also includes a refreshed Open Houses page in Flexmls Web, making the experience consistent across all platforms. Starting from the Change Listing page, click Open House in the Scheduled Marketing Activities section of the page. When you click this option, the same Open Houses page will open.

Click the Add Open House button to create a new open house event. To edit an existing open house, click the More (three dots) menu, then click Edit Open House or Remove Open House.

Terminology Change From “Virtual” to “Livestream”
To clarify the purpose of virtual open houses/tours of homes, and to align with the RESO data dictionary, anywhere you see “Virtual Open House” or “Virtual Tour of Homes” will be changed to “Livestream Open House” or “Livestream Tour of Homes.”

Recently we announced that Full Search (legacy) will be discontinued in November 2020. As part of the transition to Quick Search, we’re replacing the Full Search options in the My Market report with Quick Search.

Note: If your MLS does not use Full Search (legacy) , nothing will change. Your My Market report already uses Quick Search.

When Will It Change?
This update will be available on July 9, 2020. 

What Will Change?
You can access the My Market Report by clicking My Market under Statistics on the menu. On the My Market Report page, click Customize to select a search to specify which listings to include in the report. Currently, MLSs with Full Search (legacy) can only use Full Search (legacy) to customize the My Market Report.

With this change, the Full Search (legacy) and Previous Full Searches (legacy) options will be removed from the Customize menu. A Quick Search option will be added.

The Saved Search option, which enables you to use a saved search to get the desired statistics, will stay the same. Saved searches are not affected by the switch from Full Search (legacy) to Quick Search. The names of saved searches, search criteria, and search results will be the same, regardless of whether the search was originally created using Full Search (legacy) or Quick Search.

When you customize the My Market Report with a Quick Search, all Quick Search templates are available. If you customize the My Market Report often, you may want to create your own Quick Search template that contains the fields that you typically use. When Will It Change?
This update will be available on June 25, 2020.

Note: If your MLS uses iCheck or Monsoon for error reporting, the changes won’t be available right away on the 25th (for iPhone users only) but it will be coming soon. Please check back here for updates on when it will be released.

Who Does This Benefit?
Everyone! If your MLS allows you to access error-reporting, you will be able to report listing errors from any device, which in turn helps the MLS improve data quality.

What Will Change?
Currently, error reporting is only available on Flexmls Web, if enabled in your MLS. Soon, you will have convenient access to error reporting on the go right from your Flexmls Pro app.

Report Errors from Mobile Devices
To access your new error-reporting tool, start in the Flexmls Pro app (for iOS or Android) or from Flexmls Pro mobile web. On the detail page for a listing, click the More (three dots) menu, then click Report Violation. (Note: This option may have a different name in your MLS, but the function is the same.)

When you click this option, a new Report Violation page will open. To report a listing error or rule violation, enter a description and then click Send. An email will be sent to the recipients that are defined by your MLS.

Before sending a report, you can scroll to the bottom of the page to see who will receive it. Typically, the MLS Administrator can view a version of the report that includes your name. The listing and co-listing agents typically receive the report with your name removed.

 

Report Errors in Flexmls Web
The update also includes a refreshed Report Violation page in Flexmls Web, making the experience consistent across all platforms. Access this option just like you would on a mobile device. Select a listing on the search results page, click the More (three dots) menu, then click Report Violation. (Note: This option may have a different name in your MLS, but the function is the same.) When you click this option, the same Report Violation page will open.

Why Are We Making These Changes?
Error reporting by members is a key method of ensuring data quality for many MLSs. This change makes the error-reporting process available from anywhere and consistent on all platforms.

Recently we introduced the ability to mark photos and other listing media private to remove them from public view. Now, we’re making it easier to keep media privacy in sync with a listing’s status. Starting on June 18, we’re adding a new privacy setting of “Private While Off-Market.” With this setting, the privacy of photos, videos, and virtual tours will change automatically when the status of the listing changes.

When Will It Change?
This update will be available on June 18, 2020.

Who Does This Benefit?
This change makes it easier for you (the agent) to maintain privacy settings, which ultimately benefits your clients, too. You won’t need to remember to change privacy settings every time a listing goes on or off the market.

What Will Change?
Sometimes an agent or homeowner will want to remove photos and other visual media when a listing is sold or otherwise goes off the market. Currently, a member can remove photos, videos, or virtual tours from public view immediately by setting them to Private. However, if the listing goes back on the market, the member must manually make the media available to the public again.

With this enhancement, a new Mark Private While Off-Market button will be available when editing photos and other listing media. When this new setting is used, the privacy level is set automatically according to the status of the listing. If the listing is in an on-market status, photos and other media are available to the public. If the listing is sold or otherwise goes off-market, photos and other visual media are made private and removed from public view. Off-market statuses are determined by your MLS. (Important Note: Primary photos cannot be made private.)

Photos that have been marked private while off-market will appear on the edit photos page with a dark red outline and the label Private While Off-Market. To make a photo private regardless of listing status, select the photo and click Mark Private. To make a photo public regardless of listing status, select the photo and click Mark Public.

A similar Private While Off-Market button will be available on the Videos page and Virtual Tours page for a listing.

The Private While Off-Market setting is visible only to members with edit access to the listing. When the associated listing is on the market, listing media are displayed just like other public media. When the associated listing is off the market, listing media are displayed with a red Private tag in search results, just like other private media. In addition, private photos are displayed only on the private version of listing reports, and are not available via the customer portal.   

Why Are We Making These Changes?
We’ve heard from our MLS customers that photo privacy and copyright issues are important considerations, and that a growing number of agents are removing photos from listings to address concerns. Making photos and other listing media private helps the MLS retain important historical records while also protecting the privacy of homeowners and complying with media licensing agreements.

With the increased use of virtual tours and videos to show homes, we’re excited to announce a refreshed media gallery where videos and virtual tours are built right in to all Flexmls platforms.

When Will It Change?
The rollout of this enhancement began on July 14th, 2020 and will conclude on October 21st, 2020.

Who Does This Benefit?
For agents, this change increases exposure for videos and virtual tours on listings.

What Will Change?
Currently, videos and virtual tours are available on the Photos tab in search results, but they can be difficult to locate or notice. Extra clicks are required to view videos or virtual tours.

With this change, videos and virtual tours are displayed inline with photos in a single media gallery. Any videos and virtual tours will be displayed directly after the primary photo in the filmstrip view at the bottom of the page.

Videos will be displayed with a preview image and a “play” icon. Virtual tours will be displayed with a preview image and a “360-degree view” icon.

Videos Virtual Tours

When you click through the gallery on the Photos tab, you’ll be able to play videos and virtual tours by clicking on them. Videos will typically play in place. Virtual tours will typically open in a new browser tab.

A similar media gallery will be displayed on listing detail pages in the Flexmls Pro apps for mobile devices, the Flexmls Pro mobile website, Flexmls Portal, and the Flexmls app for consumers.

Why Are We Making These Changes?
The combined media gallery makes all types of listing media equally visible to members and their clients. It also makes the experience of viewing listing media more consistent across devices and platforms.

During this period of rapid change and uncertainty, we’re here to help you serve your customers while also keeping yourself, your family and community healthy and safe. The necessary restrictions in response to the COVID-19 pandemic make customary, in-person, interactions like Open Houses and Home Tours difficult if not impossible (or even illegal in some markets). Adapting to these restrictions while continuing to make the market work, many MLSs are cancelling in-person open houses and exploring all possibilities to hold “virtual” open houses online. To facilitate, we’ve added the ability for you to schedule virtual open houses and tours of homes in Flexmls Web (as allowed by your MLS).

Who Does This Benefit?
Agents who want to show a home virtually instead of in-person will benefit from this feature. Use it to host an open house for prospective buyers or to schedule a virtual tour of homes for a group of agents in your market. You can use an online communication service or event tool, such as Facebook, Zoom, or Microsoft Teams, to schedule a live online walkthrough of the home. Homebuyers or agents can join your virtual open house/tour of homes and view video via the camera on your phone, or via a shared presentation. Anyone who joins will be able to ask you questions in real time.

What Are My Options?
You have multiple options for adding digital media (other than photos) to your listings. With the introduction of virtual open houses/tours, we wanted to give you a refresher on how to use each option in Flexmls.

Open House/Tour of Homes:
A live, scheduled event that is either virtual or in-person.
*Available in the Scheduled Marketing Activities section of the Change Listing Page.

Virtual Tour:
A slide show or other interactive media that is pre-recorded or created and not scheduled.
*Available in the Media section of the Change Listing Page.

Video:
A walkthrough or presentation that is pre-recorded or created and not scheduled.
*Available in the Media section of the Change Listing Page.

What Has Changed?
Flexmls Web
To accommodate virtual open houses and tours of homes, new options are available on the New Open House and New Tour of Homes pages. You’ll be able to select Virtual or In Person, depending on the settings of your MLS. If you select Virtual, you can add a link to an online event, along with a description for the link.

The following live web conferencing services are allowed:

Upcoming virtual open houses and virtual tours can be viewed in the same places where you are used to seeing open houses and tours of homes.

When you’re viewing listings on the search results page, click the Detail tab, and then click the Open House or Tour of Homes link. For virtual open houses and tours of homes, a clickable link will be displayed in the new Link field.

To search for upcoming tours or open houses, under Daily Functions on the menu, click Tour/Open Houses and enter search parameters. The link to a virtual event will be available in the event details.

Flexmls Pro
When you view a listing on Flexmls Pro for Android, iOS, or Mobile Web, virtual open house/tour of homes information will be included in the listing details. 

Flexmls Portal
Your homebuyers will also be able to view virtual open house information for listings on the Flexmls Portal.

Coming Soon
Links to virtual open houses and tours of homes are currently not available to third-party sites via RETS feeds. We anticipate that this information will become available later this week.

Photo privacy has become a hot topic in the real estate industry, and we’ve made enhancements to tackle it head-on. We’re excited to announce that soon, you will never have to delete listing photos again. We’re introducing a new option to mark photos, videos and virtual tours as private in Flexmls.

When Will It Change
These changes will become available on April 30, 2020.

Who Will Benefit
Everyone: You, your MLS, and your Homeowners!

For Agents:
You will no longer need to delete photos, videos and virtual tours to prevent them from being seen by the public. You’ll be able to mark photos as private to remove them from public view while retaining value for other members as they use listing photos to build CMAs or conduct appraisals.

For Homeowners:
Your homeowners will no longer have privacy concerns about photos of their home on the internet.

For the MLS:
This enhancement will help your MLS retain important historical records and keep listings intact. Visual media support the value of the MLS and help make the market work.

How It Works Now
Currently, listing photos, videos, and virtual tours are always visible to the public. They can be viewed anywhere the listing information is available, including consumer portals, on IDX websites, and on third-party sites such as Zillow and Realtor.com. The only way to prevent them from being seen on the internet is to remove them from a listing.

How It Will Work Soon
On April 30th, you’ll be able to mark photos, videos, and virtual tours as private, which means that they’ll be viewable by MLS members only. They will not be available to the public via the consumer portal, subscription emails, or shared links.

Marking a Photo, Video, or Virtual Tour as Private
All photos, videos, and virtual tours will be public by default. However, any member with permission to edit a listing can change the privacy setting for any media on that listing. 

When editing the photos for a listing, a new, red Mark Private button will be available. To mark a photo as private, simply select the photos you want to make private and then click on the Mark Private button. (Important Note: Primary photos cannot be made private.)

 

Photos that have been marked Private will appear with a red outline and the label PRIVATE. Select photos and click Unmark Private to remove the Private designation.

A similar Private button will also be available on the Videos page and Virtual Tours page for a listing.

Viewing a Private Photo, Video, or Virtual Tour
When a photo, video or virtual tour has been marked private, a Private tag will be displayed when members view the media in search results. In addition, private photos will be displayed only on the private version of listing reports.

In Flexmls Pro for iOS/Android/Mobile Web, private media will also display a Private tag. Private media will not be available via the consumer portal or app.

With this new enhancement, a Share Listing option will become available on the Change Listing page. If allowed by your MLS, you will be able to share any listings that you have permission to edit.

What Will Change
Previously, the map view on your mobile device showed information only for listings returned in your search results. You could not click on other parcels to view information. 

With this change, you can tap on any parcel on the map to view available listing history. To use this feature, first zoom in on the map until you can see property/parcel boundaries.

Then tap on any parcel to view details. If the property has been listed before in the MLS, the last listing for that property will be displayed. Tap on the listing bubble for more information about the listing.

Why Are We Making These Changes
This map improvement enables you to view information about other listings in the area of your search results without modifying your search.

What Will Change
If you are a Flexmls IDX subscriber, your portal signup page now includes a reCAPTCHA above the Sign Up button. Users will be required to click the I’m not a robot checkbox in order to sign up for a portal account.

reCAPTCHA is a service that helps protect websites from spam and abuse. A “CAPTCHA” is a test to tell humans and bots apart. Valid (human) users pass the test easily, but automated software is blocked.

Why Are We Making These Changes
We’re making this change to help prevent malicious users from creating false IDX leads that interfere with your ability to identify and work with valid contacts.

Previously, you could sort your saved searches by Most Recent, Least Recent, or Name.

With this change, the sorting options are clearer and more specific. You can choose from Viewed Most Recently, Viewed Least Recently, Modified Most Recently, Modified Least Recently, and Name.

Why Are We Making These Changes
Identifying the searches that you haven’t viewed or modified lately helps you determine which searches you may want to update or delete.

Starting on February 27th, we’re giving the Office/Member Search page in Flexmls Web, Flexmls Pro for Android/Mobile Web a visual refresh that will provide a more modern look and be easier to use.

When Will It Change
These updates will be available on February 27, 2020.

Note: Not all users will see this change right away on February 27th. The change will be rolled out gradually and will be monitored by FBS for potential issues. 

What Will Change
The Office/Member Search page is getting a complete makeover to make it easier to use and to give it an updated, modern appearance. 

Search, Sort, and Filter
Instead of choosing between Search and Pick From a List tabs, the list of offices will be displayed automatically. You’ll be able to choose from Offices, Members, and Teams (if available in your MLS) tabs to narrow your search.

At the top of the page, you can use the Search box to search the current tab by name, short ID, phone number, ZIP code, or email address (if allowed by your MLS). Next to the Search box, click the Sort by menu to sort the list. By default, every tab is sorted alphabetically by name. You can also sort the Members tab by office name, and you can sort the Teams and Offices tabs by city. If you select a different sorting option, your preference will be saved, and that sorting option will be used the next time you go to the page.

Click the Filters button at the top right to further customize your search results. You can filter by member languages or include members from data share MLSs in the search (if available in your MLS).

Administrative users can select to include inactive or “not in list” members. A caution icon will be displayed next to offices, members, or teams that are inactive or not displayed in lists. 

View Listings
If your MLS allows listings to be viewed from the Office/Member Search page, you can click the More (three vertical dots) menu to view listings for the selected office, member, or team. (Options will vary based on the tab that is selected.)

Click the View Listing Options button at the top of the page to set your preferences for viewing office, member, or team listings. Select the transaction roles (listing member, co-listing member, selling member, co-selling member) and listing statuses you want to include by default.

If you select an off-market status such as Expired or Closed, you can also select a date range. Click Exact Date Range to set specific start and end dates for the date range. Click Relative Date Range to set a date range that is relative to the current date, such as In the last month, Last 6 months, Year to Date, or Last 12 months. Click Future dates included to include off-market dates up to 10 years in the future. For example, if you select In the last month and Future dates included, the date range will start one month before the current date and end 10 years in the future.

Click Save to save changes to your settings. These settings will be used every time you use the Office/Member Search.

View Office, Team, or Member Profile Information
Click on an office, member, or team to view profile information. When you view an office profile, tabs for Office Members and Office Teams will be available. When you view a team profile, a Team Members tab will be available. Click a member name in any list to view that member’s profile information.

Note: If you have the appropriate permissions, you can also edit the selected office/member/team or reset the password from the profile details page. In addition, some profile information is viewable only by users with edit permission. 

Flexmls Pro Mobile Changes
The same enhancements will be applied to the Office/Member Search page in the Flexmls Pro mobile app for Android and the Flexmls Pro mobile website.

These changes are part of a larger initiative to modernize the look and feel of Flexmls. By doing so, we’re providing you with a Flexmls system that matches your business workflow, a more modern interface, and a more consistent Flexmls experience across pages and devices.

Starting on February 20th, when documents are required for a listing, those requirements will be clearer in Flexmls. 

When Will It Change
These updates will be available on February 20, 2020. 

What Will Change
Previously, the Change Listing page and Change Incomplete Listing page did not indicate whether required documents had been uploaded. In addition, the Documents page for a listing showed which documents had already been uploaded, but it was not clear which documents were required, and whether document requirements had been met.

With this change, on the Change Listing page and Change Incomplete Listing page, a green checkmark will be displayed when all required documents have been uploaded to a listing. A red ”Required” label will be displayed when document requirements have not yet been met.

On the Documents page for a listing, the required documents will be displayed at the bottom of the left panel. Green checkmarks will be displayed next to required documents that have already been uploaded.

Why Are We Making These Changes
You’ve told us that it can be difficult to determine whether the required documents have been uploaded for a listing. We’re making these changes to make it easier for members to upload the appropriate documents and comply with MLS rules.

The Listing Activity Report summarizes how people are interacting with a listing, including the number of times the listing has been shared. Sharing actions include using the Share function in customer portals or IDX sites, emailing the listing, and sharing the listing on Facebook, Twitter, or another form of social media.

By default, the Listing Activity Report displays listing activity information since the listing’s begin date. With this change, the Shared information will include sharing actions for the past 90 days only. Limiting the time frame helps you provide the most current information to your clients and improves the performance of the Listing Activity Report.

Starting December 5, you will be able to set Quick Search as your Flexmls homepage instead of your default Flexmls Dashboard in Flexmls Web (if allowed by your MLS). We know that you spend much of your time in Flexmls searching for properties. This change will allow you to bring your primary task to the forefront.

A new option, First page viewed after login, will be added to the General Preferences page. By default, the Default Dashboard will be selected, but you can change it. You’ll see your new home page the next time you log in to Flexmls.

You can still access the default Dashboard by clicking on the Flexmls logo in the upper left corner of the screen. All dashboards can also be accessed via the Menu in Flexmls.

For the MLS, this change will make it easier to accommodate single sign-on integrations.

Note: If your MLS has a custom login page with the MLS logo, your login experience has already been updated and will not be affected by this change.

This update will be available on October 24th, 2019.

Note: Not all users will see this change right away on October 24th. The change will be rolled out gradually over several days and will be monitored by FBS for potential issues.

Starting October 10th, you’ll be able to reject listings in subscription preview mode in Flexmls Web. Preview mode allows you to choose which subscription listing updates are emailed to a contact or displayed in the contact’s news feed.

When Will It Change
These updates will be available on October 10, 2019.

Who Will Benefit
Members who use preview mode for subscription emails will benefit from this change.

What Will Change
Currently, in preview mode, you can only approve the listings that you want to send to your client. Unapproved listings that meet the subscription’s search criteria will continue to be displayed every time you preview the subscription.

With this change, a Reject button will become available in preview mode.

When you click Reject, the Hide Listing icon (red circle with a slash) will be selected. The selected listing will move to the Hidden by Agent listing collection for the contact and it won’t be shown again in preview mode.

You can reinstate a hidden listing at any time by going to the Portal tab for the contact in Flexmls. Click on the Hidden by Agent listing collection.

The search results page will open with the listing collection displayed. Click the Hide Listing icon for a listing to clear it and remove the listing from the Hidden By Agent collection.

Why Are We Making These Changes
You told us that preview mode would be more efficient if you could hide listings that you know will not interest your client. We’re making these changes in response to your feedback.

What Will Change
Previously, when you changed Quick Search criteria on the Edit Search tab, the default map view was displayed, regardless of the location of search results. If results were outside the default area, you would need to pan the map or change the zoom level to find your listings.

With this change, if you specify a location in your search, the map view adjusts to the area where the search results are located. The zoom level also adjusts to an appropriate level to clearly display the listing icons. If no location is specified in the search, then the default map view determines the area that is displayed.

Why Are We Making These Changes
You told us that you prefer the responsive map that is available elsewhere in Flexmls. We’re making these changes as a result of your feedback.

We’re making it easier to adjust your view of search results in Flexmls Web, both on-screen and on the printed page. Starting August 15, you’ll be able to click and drag to resize columns to your heart’s content.

Who Will Benefit
All users who use search results in Flexmls Web can take advantage of this change.

What Will Change
Column widths in search results were previously not adjustable. With this change, you can modify the width of any column in the one-line and normal views on the List tab of search results. Click on a column separator in the header and drag the double arrow to adjust the width.

You can also adjust columns to better fit on the page when printing. To open the print preview, click the Print button on the search results page and then click Preview. Adjust the column widths just like on the search results page, by clicking a column separator and dragging the double arrow. Column headings will wrap to the next line automatically as you make columns smaller.

Note: Column sizes on the search results page are independent of column sizes in the print preview. Resizing one does not resize the other. Adjust columns on the search results page for the best on-screen view and adjust columns on the print preview page for optimal printing.

Your adjusted column sizes are saved automatically. To reset column sizes to the browser default, click the Reset Columns link.

What Will Change
The Show My Saved Searches page will be renamed Saved Searches. The appearance of the Saved Searches page is also being refreshed, giving it a more modern look and making the experience more consistent across mobile platforms and desktop.

To help you find the saved search you need, we’ve added a Search bar at the top of the page. We’ve also added links to easily access favorite and draft searches. You’ll be able to sort the list of saved searches by most recent, least recent, or search name.

To quickly add a saved search to your favorites, hover over the search name and click on the star.

The More (three dots) menu will be displayed for each saved search. The More menu gives you one-click access to view saved search details, view related subscriptions, rename the saved search, or delete the saved search.

What Will Change
Current Experience
Currently, when you create a new search and share it using the Flexmls Pro Android app or the Flexmls Pro mobile website, only email sharing is available. You can’t share via other apps on your device. In addition, saving and sharing a search at the same time can be error-prone.

Updated Experience
With this change, when you create a new search and share it using the Flexmls Pro Android app or the Flexmls Pro mobile website, saving and sharing the search are separate steps. First, you will name the search and click Save and Share.

Next, the Share Search screen is displayed, where you can select a contact and email the new search. If the person that you want to share with isn’t already a contact, you can create a new contact on the fly. The More option generates a link that you can share from the available apps on your device.

Cleaner Appearance: Who doesn’t like a little breathing room? The refreshed screen layouts will have more room around page titles, buttons, and content. Screens will look less crowded, providing a better experience on all screen sizes.

Pages Tailored to You: By monitoring user data (how you use Flexmls), feedback, and research, we’ve been able to determine the most and least used features. With this data, we’re able to better tailor changes to your common, everyday tasks: Most-used items will be showcased front and center, while least-used items can still be accessed, but won’t be as prominent as the most-used items.

Responsive Design

You know that awesome feeling you get when you make your browser window smaller and everything automatically scales to size so you can still read it all? This user refresh also makes Flexmls pages more responsive for easier viewing on your smaller desktop screens, laptops, tablets, and phones!

What Will Change
The appearance of the Subscriptions page is being updated, giving it a more modern look and making the experience more consistent across mobile and desktop devices. While the appearance of the page has been simplified, the same features and functions are available.

On the current page, a drop-down list is used to switch between Active Subscriptions, Expired Subscriptions, Agent Only, and Listing Activity Events. These items have been converted to tabs across the top of the page instead, making them always visible without clicking.

Clicking on a contact name will display options related to the contact. You can view the contact’s details or remove the subscription from that contact.

Clicking on a search name will open a search results page with that search displayed.

Edit and delete options for the subscription are available under the More (three dots) menu that is displayed at the end of each row. Deleting the subscription will permanently remove it from the system for all contacts.

The New Subscription dialog box has also been updated with a new look.

The Flexmls Portal for consumers is getting a facelift that will make it easier to use everywhere!

When Will It Change
This portal experience has already been rolled out to a small number of MLSs. On July 25th, the changes will be available to all MLSs.

Who Will Be Affected
If you are using the Flexmls Portal, your clients will see these changes when they use a web browser to access the Portal on a larger screen, such as a laptop or a tablet. (Clients who use a web browser to access the portal on a mobile device will not see any changes.)

Note: These changes will not affect users of the Classic Portal. However, members using the Classic Portal should consider switching portal versions to gain the benefits of these changes.

What Will Change
We’re excited to announce that the Flexmls Portal for consumers is getting a facelift that will make it easier to use everywhere! Soon, the portal will be responsive, so whether consumers are viewing the portal on their mobile phone or on a full-size monitor, the features and functions of the portal will work exactly the same. Previously, the portal experience was different between smaller, mobile screens and larger screens. Consumers had to learn to do the same tasks differently, depending on their device. This new consistent user experience will also make it easier for your members to help consumers use the portal.

In addition to a fresh user interface, this change also includes the following new features that enhance your client’s ability to find the listings they’re interested in:

  • Drawing tools on the map to define search areas
  • Location services on all devices
  • Friendlier search results page
  • More prominent home page that showcases your featured listings and IDX searches

Refreshed Home Page
The updated home page gives your clients access to more information, including their conversations with you. Plus, if you have featured listings or IDX searches, the home page highlights them.

Map Search
Previously, clients using tablets or larger screens couldn’t outline a search area using the map in the portal. Now, if your MLS allows searching in the Flexmls Portal, your clients will be able to easily draw a shape on the map to define their search area, saving them time and making it easier for them to come up with more accurate results.

Infinite Scrolling in Search Results
Previously, only 10 listings loaded at a time, requiring your client to repeatedly click to load and view more listings. Now, they can enjoy less clicking with the new infinite scroll. As they scroll through their search results to view listings they’re interested in, more listings will load automatically, which makes their search results easier to view overall.

“My Location” Now on All Devices
In the previous version of the portal, “My Location” was available only on mobile devices with smaller screens, such as phones. With this change, location services can be used on all devices, making the portal more useful for contacts who use a computer with a mobile hotspot or another device with a larger screen.

When location services are turned on, tapping or clicking the “My Location” control on the map changes the zoom level and centers the map on the consumer’s location to show nearby listings.

Give Your Clients the BEST Portal Experience – Make Sure It’s Turned On!

Ensure your clients have the best experience. Go to the Portal Preferences Page in Flexmls. If you see this on your screen, click the blue button, “Try The Flexmls Portal.”

Then make sure you have the Flexmls Portal turned on. Click to expand the Portal Basics section. If the Portal Enabled option is turned on (the toggle is green), the portal is ready for your clients to use. If the portal isn’t enabled yet, click the on/off toggle. Be sure to click Save if you make changes!

Whether or not the portal is turned on, you can change the Portal Name, which is the portion of your portal URL that identifies you. You can change the portal name to reflect your branding, marketing, or personal preference.

Important Note: If the portal is already turned on, changing the portal name may cause links that were previously created for your clients to stop working.

They can look forward to updated message threads, responsive pages that accommodate a wider range of mobile devices and screen sizes, and of course, a new modern look and feel.

Benefits of Mobile Messaging Advantages for Members
The built-in messaging in Flexmls provides you with a streamlined way of communicating with your clients.

When a contact sends a message from a listing, a clickable summary of the listing information is always included, making it clear which property the conversation is about. Tapping the photo will take you directly to the detail view for the listing. From there, tapping Back returns you to the contact’s message, making it easy to review a listing and then respond to a question.

Message management is easier because messages from a contact are gathered in one place. Instantly send a reply by entering a return message and tapping Send. Questions and replies stay together in threads.

For members, messages are also a great way to direct contacts to the client portal.

Advantages for Clients
Your clients can quickly and easily ask a question, request a showing, or comment on a listing by tapping the Contact Agent button. Even if they’re not logged in, clients can send a message to their agent. (Logging in is required to see the agent’s reply.)

 

Because the clickable listing summary is always included, clients can also tap the photo in a message to view the details of the listing.

When Will It Change
This update will become available on June 6, 2019.

Who Will Be Affected
Members who use the Flexmls Pro Android app or mobile website and clients who view the Flexmls Portal on a mobile device will notice these updates.

What Will Change

When Will It Change
This update became available on May 14, 2019.

Who Will Be Affected
Members who use the Flexmls Pro Android app or mobile website and clients who view the Flexmls Portal on a mobile device will notice these updates.

What Will Change
Previously, when a mobile user viewed listings on the map, the map display area was determined by that user’s current location. If the user searched for listings outside of their current location, they would need to pan the map or change the zoom level to find their listings. If location services were turned off on the mobile device, the default map area for the MLS was displayed, even if search results were displayed off the map.

With this change, the map view will adapt to the user’s search.

  • If the user specifies a location in their search, the map view adjusts to the area where the search results are located. The zoom level will also adjust to an appropriate level so that listing icons are clearly displayed.
  • If no location is specified in the search, the default map view determines the area that is displayed.

As always, if location services are turned on for the device, the My Location (crosshairs) button can be used to recenter the map on the user’s current location.

We’ve improved the experience of viewing listing links sent through the Flexmls internal email client. Starting on June 6th, when you click an emailed link, you’ll see the interactive search results page, a familiar interface that gives you the information you need to do your jobs in Flexmls Web.

 

When Will It Change
This update will become available on June 6, 2019.

 

Who Will Be Affected
Members who send listing links via the Flexmls internal email client and the recipients of those links will see this change.

Note: This change affects only MLSs that use the Flexmls internal email client.

What Will Change
Currently, when you send a listing to another agent using the MLS E-mail page, you select a listing report to control the format of the listing information. When the recipient clicks the link, they see the information that is included in the selected listing report.

 

With this change, the agent sending the link will no longer select a listing report. The default listing report selected in the recipient’s General Preferences will be used automatically.
When the recipient clicks the emailed link, they will still see the listing report, but in the context of an interactive search results page. The recipient will be able to interact with the listing like they would any other search results. They’ll have more options, such as viewing all photos and documents that are attached to the listing.

We received requests that you needed access to better information when receiving listing emails from other members so we made it happen in response to that feedback.

Starting on May 30th, everything you loved about the Map Search will be consolidated into Quick Search to help optimize your search experience in Flexmls Web.

Who Will Be Affected
All users who have access to the Quick Search and Map Search functions in Flexmls Web will see these changes.

What Will Change
Currently, you can start nearly identical search processes from the Quick Search and Map Search menu items in Flexmls Web. The major difference is that in the Map Search, the map view is displayed by default when you are entering search criteria.

With this change, the separate Map Search option will be removed from the Flexmls menu and the map will become the default view on the Edit Search tab. When you click Quick Search, the map view will be displayed by default next to the search criteria. If less than 1,000 listings are found, they will automatically appear on the map. If more than 1,000 listings are found, a pop-up message will show the number of results. To view the listings on the map, click the View on Map button on the message. If you prefer to view the results in a list instead, you can click the List tab.

The map view will also be displayed when you click the Edit Search tab when viewing search results. In addition, the search criteria pane will be collapsible, allowing you to use more of the screen to view the map.

Why Are We Making These Changes
Combining the two search options increases the visibility of the map search and simplifies the experience by reducing the number of menu items to choose from. These changes are part of a larger initiative to modernize the look and feel of Flexmls. By doing so, we’ll provide you with a Flexmls System that matches your business workflow, a more modern interface, and a more consistent Flexmls experience across pages and devices.

These changes will affect the mobile consumer portal for members who have purchased IDX from FBS.

What Will Change
For members who have purchased IDX from FBS, contacts will be able to search for an address or MLS number from their Flexmls mobile portal. The new search bar will be available on the mobile portal home page.

Additional search options will not be available in the mobile consumer portal if the member has not purchased IDX. The existing search functions in the mobile portal also will not be affected by this change.

What Will Change
Better Use of Space

We’re minimizing the amount of empty space on the page when using a Quick Search in Flexmls Web. On the search results page for a Quick Search, the space between the tabs and listing information is being reduced, allowing more room on the page to display search results.

Some Options Will Move

On the List, Detail, Photos, Map, Compare, and Messages tabs, decreasing this space means that the options currently displayed in this area will be relocated. The Search Details option and the Jump to Listing selector will be available from the More (three vertical dots) menu instead.

When the left pane of the search results page is collapsed, the Select, Recommend, Hide, and Notes options also will be removed from the space above the search results. To access these options for a listing, expand the left pane.

Why Are We Making These Changes
We heard your primary feedback about the new Quick Search appearance, which was that there was less workspace on the screen. This update makes more effective use of vertical browser space. FBS recommends using a browser size of 950 x 550 or greater when using Flexmls Web. We’ve optimized the user interface based on this minimum requirement, which our research shows covers more than 95% of Flexmls Web users.

Starting on April 11th, we’re updating the Saved Searches page in Flexmls Pro for Android and Mobile Web with a modernized look that is user-friendly and more intuitive.

Users of the Flexmls Pro Android app or Mobile Web who currently have access to the Saved Searches function will see these updates.

What Will Change
The Saved option on the home page will be renamed Saved Searches to align with the Flexmls Web desktop application.

We’ve added links at the top of the Saved Searches page to easily access favorite and draft searches. We’ve also added the ability to sort the list of saved searches (by most recent, least recent, or search name) and the ability to add a saved search to your favorites by clicking on the star.

The More (three dots) icon will be displayed next to each saved search name. The More menu gives you one-click access to view saved search details, rename the saved search, or delete the saved search.

Working with saved searches is fundamental to your work in Flexmls. That’s why, on April 4th, we’re updating the Flexmls Web experience to make it consistent and easier to use.

Users who save searches based on Quick Search templates in Flexmls will see this change. (Full Search, if used by your MLS, will not be affected.)

What Will Change
Working with a previously saved search is currently different than working with a search you just saved. This update will make that experience consistent.

Current Behavior
Immediately after saving a new search, the name of the Quick Search template is still shown in the upper left corner of the page, even though the search criteria and results reflect the saved search. This can make it unclear which search the user is currently working with. In addition, the Rename Search function is not available on the search results page.

Updated Behavior
After this update, immediately after saving a new search, the search name will be displayed on the page, making it clear that you are working with the criteria and results of the saved search. You’ll be able to click the star icon next to the search name to mark the search as a favorite, and the Rename Search function will be available under the More icon (three dots).

Users who have access to the Change Listing page will see these changes.

What Will Change
Currently, many links are displayed at the top of the Change Listing page. This update will remove the Photo Tour, Document Viewer, and Virtual Tour (if applicable) links. The Full Listing Report link will be renamed “Preview” and will appear on the Change Listing page only for listings that have a future listing date.

Links for History, Activity, Change Another Listing, and the MLS Error Form (as allowed by your MLS) will remain at the top of the page. Depending on the settings of your MLS, an Input Form link will be added, giving you access to a printable input form for the listing.


Photos, documents, and virtual tours can still be accessed from the Media section of the page. For listings that don’t have a future listing date, you can view and work with the listing report by clicking on the MLS number. Additionally, after clicking the MLS number, you can use the Print option to print or email documents and photos for the listing.

Why Are We Making These Changes
Usage data shows that the removed options are used very infrequently by Flexmls users. This change is part of an ongoing effort to streamline the user experience of Flexmls.

On March 21st, we’re introducing some small changes to the Flexmls Mobile website that will improve the experience for your clients who view listings on their mobile devices.

When Will It Change

Clients who view listings from mobile browsers will notice these updates.

What Will Change
Subscribing to Notifications
Consumers can subscribe to searches to be notified when new listings match the search or when matching listings have changed. Previously, if the user made changes to filters (search criteria) on a saved or agent-provided search, it was unclear whether they were subscribing to the original search or the version with their filter changes.

With this update, if a consumer changes the filters on a search, the Receive Notifications option will not be available unless the search is saved. The text on the Filter button will change to “Filter (Edited)” to indicate that there are unsaved changes. For consumers who can save searches, the Save Changes button will be available. (Note: Clients can save searches only if their agent has purchased IDX from FBS.)

Saving Searches
On mobile devices, clients of agents who have purchased IDX from FBS will now be able to save changes to their own saved searches. Previously, when a consumer changed the filters on a saved search, they were not able to save the changes. Now, if the search filters are changed, a Save Changes button will be available. Clicking the button will save the changes made by the consumer, and the Receive Notifications option will become available again.

Consumers will also be able to create new saved searches from agent-provided searches. If a consumer changes the filters on an agent-provided search, a Save Search option will be available. Clicking the button will allow the consumer to name and save their new search.

Hiding Listings
With this update, consumers will be able to hide listings directly from search results. Previously, the Hide option was available only from the listing details page.

Sign Up Option
For agents with IDX, a Sign Up button has been added to the Log In option. This enables lead generation on mobile.

News Feed Placeholder Text
Minor changes have been made to the text in the News Feed when it is empty. Because of recent updates to Flexmls Mobile for consumers, the old placeholder text was no longer accurate.

Instead of repeating the same options that are displayed in the top bar, the results pane displays only the number of matching listings and a View Results button.

While the appearance of the page has been simplified, the same features and functions are available.

These updates will be available in Flexmls Web for all users who currently have access to the MLS # search function.

What Will Change
When using the Menu, the MLS # search option will be renamed MLS # Search. The look of the MLS # Search page will also change, but the functionality will remain the same. You can still enter a single listing number, multiple listing numbers, or you can enter in a range of MLS numbers. A tip on the left side of the page explains how to search for a range of MLS numbers.

If your MLS allows radius searches from the MLS # Search screen, you can enter an MLS number (or numbers), toggle the Radius Search option on, enter the radius you’d like to search, and select the appropriate statuses. Click the Search button to run the radius search.

Starting on January 24th, we’re introducing some small but useful changes to how listings are sorted on Flexmls Pro for Android and Mobile Web. Search results will default to sorting by New and Recently Changed First and Listing Collections will retain custom sort orders. These changes will also impact contacts who view listings or portals on mobile websites.

When Will It Change
These updates will be available on January 24, 2019.

Who Will Be Affected
These updates will be available for agents using Flexmls Pro for Android and Mobile Web. They will also be available for clients who view listings in mobile web browsers.

What Will Change
Search Results – Default to New or Recently Changed First
When viewing search results as a list, the results will default to showing New or Recently Changed First at the top of the list.
Clients creating searches from within the portal will also see search results defaulted to New or Recently Changed First. If you’d like to change the sort order, tap the current Sort Order and select a new sort.

Custom Collections and Shared Listings – Recommended Sort Order
When you share selected listings with a contact, the recipient will see the custom sort order you’ve created. This applies when using the share option, when recommending listings for a contact’s portal, and when creating custom collections for a contact’s portal.

For example, if you’d like to create a list for Saturday’s showings and arrange the listings in the order of showing, you can select the listings in Flexmls Web by placing a checkmark next to each listing. Then, view only the selected listings and drag and drop them into the desired order.

When you share the listings with a contact, they will see them in the Recommended Order (the order that you arranged them in before sharing them).

Portal – Saved Listings Sort by Rating (High to Low)
When portal users save listings by clicking the star icon, the saved listing collection will automatically sort listings by their star rating (high to low).

Also note, that if your client views their Hidden listings collection, the default sort order will be Price (High to Low).

Why Are We Making These Changes
These updates make it easier to find new and recently updated listings when viewing search results. Additionally, retaining the custom sort order for listing collections is a feature already available in Flexmls Pro for iOS, so this update ensures that custom sorts are respected regardless of which mobile platform you are using.

Please note that this update is not available on the Classic dashboard; it is only available for Hot Sheet gadgets on customizable dashboards.

What Will Change
The Hot Sheet gadget will display a selectable time frame near the top of the gadget. By default it will show listing updates for the past 24 hours. Click on it to change the time frame to 48 hours, 72 hours, or the past week.

Once you change the time frame for a particular Hot Sheet gadget, the newly selected time frame will become the default for that gadget. If you use the gadget’s settings to modify the hot sheet’s filters (for location, property type, etc.), the time frame will not be affected unless you manually change it again.

Why Are We Making This Change
We know that the hot sheet is a valuable way to stay connected to the market. This update provides you with a quick way to change the time frame for your Hot Sheet gadgets, eliminating the need to create a Custom Hot Sheet to get the information you need.

Additionally, the ability to change the time frame for hot sheets is already available on Flexmls Pro for iOS, Android, and Mobile Web. This update brings the existing mobile functionality to Flexmls Web, making the user experience similar across all platforms.

Who Is Affected
These features are available for agents using Flexmls Pro for Android and Mobile Web, as well as their clients viewing listings on mobile devices.

Note that the update for the Contact Agent feature is only available for clients. It is not available on Flexmls Pro for Android and Mobile Web.

What Changed
Sort Faster
Sorting search results is faster than ever. When viewing listings as a list, tap the sort option to view and select how you would like to sort the listings. Just as before, you can choose to apply one of several pre-made sorts or one of your custom sorts.Improved Contact Agent Feature
When clients tap the Contact Agent feature while viewing listings on a mobile website, it opens a Contact Agent overlay, making it faster and more intuitive for contacts to send a message to the agent with whom they are working.

Why Are We Making These Changes
While relatively minor, these updates make the process of sorting listings and contacting an agent faster and more intuitive for users. They are part of our ongoing usability improvements for Flexmls on mobile devices.

Sometimes it’s the little things that matter! While some updates to Flexmls Web are very noticeable, we’ve also released some subtle changes to help make your job easier. Some recent gems include changes to the default settings for address searching, a better error message when adding photos that are too large, and hiding table headers on listing reports when there is no information in the table.

When Will It Change
These changes are available now.

Who Is Affected
These updates are available for all Flexmls Web users who have access to the Address Search, who can add/change listing photos, or who can view listing reports with a table for rooms.

What Changed
Address Search – Street Name Defaulted to Contains
When you use Address Search, the default option for Street Name is now Contains. This means that if you enter a partial street name, the search will find any street that contains the text you’ve entered. Just as before, you can change the option from Contains to Begins with or Ends with.

Photos – Better Error Message If the Photo Is Too Large
If you add photos that are larger than 15 MB, the error message now tells you the file name for the photo that was too large. The message remains on the screen until you click to dismiss it.

Listing Reports – Rooms Table Headers Hidden
If your MLS uses a table to display information about rooms, the headers for the table are now hidden when there is no information to display. This eliminates unnecessary blank space on listing reports.

We know that your clients depend on you for fast, accurate listing information and an increasing number are viewing listings from their mobile devices. As a result, starting on November 29th, we’re updating the Flexmls mobile portal homepage with more emphasis on your brand and contact information and updating the Saved tab, making it easier to navigate.

When Will It Change
These updates will be available on November 29, 2018.

Who Will Be Affected
All clients using the portal on mobile websites will receive these updates.

What Will Change
Homepage
Just as before, when on a mobile website, your portal’s homepage will feature your photo, contact information, messages, and your active listings. Your profile photo is now larger and clicking the Show More link will expand your profile to display your full contact information (all phone numbers, email addresses, website and physical address).

Saved Tab
The Saved tab (Star icon) is being updated to display searches and listing collections in distinctly separate containers. Each container also has a short description, making it easy for your clients to understand what each section contains.

Additionally, if a search has an active subscription, it will be labeled as Subscribed. Clients can manage the subscription by tapping on the search, and toggling the Receive Notifications option at the top of the search screen. Turning notifications on enables the subscription so they can receive automatic updates via email.

If the contact has not previously opted-in to receiving listing updates via email, they will receive an email allowing them to do so. A dialogue box on the screen lets them know that they should check their email and opt-in to receive future listing updates. Please note that clients only have to opt-in one time; if a client has opted-in to receiving listing updates previously, they will not be asked to do so again.

If their email address is undeliverable, a dialogue box on the screen notifies them and provides directions on how to update their email address.

Easily Accessible Options
When viewing listings, you may find yourself scrolling down the page. As you scroll, the Filter, Share, and More options will stay at the top of the screen instead of scrolling away. No need to return to the top of the page to access those options. This feature will be available to agents and clients when viewing listings.

Why Are We Making These Changes
These updates are part of our ongoing commitment to improve the Flexmls Portal experience on mobile devices. The updates to the homepage place greater emphasis on your profile photo and allow your clients to access all of your contact information quickly and conveniently. The updates to the Search tab make navigating the page more intuitive and keeps the process for managing subscriptions the same as the full portal website, creating more consistency between platforms.

What Will Change
Map View from the News Feed
When a client is viewing their News Feed on a mobile website, they’ll be able to toggle to the Map view by clicking the map icon near the bottom of the screen.

A Faster Filter
When searching for listings, tapping the Filter button opens the Filter overlay allowing you to select your search criteria. Tap View Listings to view listings that match your search criteria or tap Cancel to close the filter and return to the previous screen. Tap Reset Filters to clear your current search criteria.

Changes to the More Tab and Icons
Some items from the More tab (three lines) will now be found under a new Avatar tab. Tapping the Avatar tab gives you access to your Profile, My Listings, and the Logout functions. Tapping the More Tab gives you access to Messages and the Office/Member search.

Please note that for clients viewing listings, the More tab icon will be replaced with the Avatar icon, but the functionality will remain the same.

Why Are We Making These Changes
These updates are part of our ongoing commitment to improve the Flexmls Pro App for Mobile Web and Android. Viewing the News Feed listings on the map view allows clients to quickly view the location of listings in the News Feed. Starting on November 15th, when you begin creating a new Customer Flyer and you’re selecting a template, you’ll see more accurate thumbnails in Flexmls Web. This change is part of ongoing improvements to Customer Flyers (formerly called Tessera Reports) helping to ensure they meet the needs of agents and brokers. This update makes choosing a template more intuitive, which makes it even easier to create simple, attractive flyers.

When Will It Change
This update will be available on November 15, 2018.

Who Will Be Affected
All users with the ability to create Customer Flyers will have access to this feature.

What Will Change
Customer Flyers (formerly called Tessera Reports) are simple, flyer-style listing reports that are easy to create and edit. To begin making a new Customer Flyer, use the menu to find and select My Reports. Then select New and choose the Customer Flyer option.

Choose a report template. Just as before, the name of each template is descriptive to let you know exactly what you can expect; additionally, the thumbnails for each template now accurately indicate the layout for the template.

 

Once you select a template, you can edit each container in the flyer by inserting the desired fields, reordering fields, and renaming fields as necessary. Once you save the Flyer, it will be available for you to use when viewing listing details, emailing, or printing listings.

Why Are We Making These Changes
This update makes the process for creating Customer Flyers more accessible to agents who want to create and use their own flyers, but do not feel comfortable using the Custom Report Writer. Selecting a template and creating a Customer Flyer is intuitive and easy to learn. Once you’ve set up and saved a Customer Flyer, you can use it whenever you need it.

Starting on November 1st, the Quick Launch will display a listing’s status when displaying search results on Flexmls Web. This can be useful if a listing has been on the market previously–it allows you to identify active listings immediately, without having to open them to view the details.

Who Will Be Affected
All users who currently have the ability to search via Quick Launch in Flexmls Web.

What Will Change
The Quick Launch is a multipurpose search bar located at the top of most screens in Flexmls. You can use it to access recent searches, search various areas of Flexmls, and create basic listing searches. When you use the Quick Launch bar to search by address or MLS #, a listing’s status will display.

Just as before, you can click on one of the search results to view a listing’s details, or you can hover over a search result and click the New Tab option to open the listing in a new tab. To find out more about using the Quick Launch, watch our short video below.

Make sure your contacts are receiving your emails! Something as simple as a typo when entering a contact’s email address can make it impossible for them to get listing updates from you. Starting on November 1st, identifying and updating invalid email addresses can easily be done from the Contact Management screen in Flexmls Web.

When Will It Change
This update will be available on November 1, 2018.

Who Will Be Affected
All users with access to Contact Management will receive this update.

What Will Change
When you send emails to contacts from Flexmls (manual emails or subscription emails), the system verifies that the recipient’s email address is valid before sending the email. If the email address is deemed invalid for any reason, it will be flagged as an invalid, non-working email address.

When you go to the Contact Management page, a banner at the top of the page alerts you if you have any contacts with invalid email addresses. Click the View Email Addresses button to review the invalid email addresses.

A pop-up displays your contacts with invalid email addresses, and gives you options to Edit or Remove the email address. Please note, a Primary email address can only be edited, not removed.

Click Edit to enter the correct email address for a contact, then click Save.

If the email address displayed is a contact’s secondary email address, you can edit it, or you can remove it from the contact’s record by clicking Remove. After removing one or more secondary email address, click Done to complete the removal process.

Why Are We Making These Changes
This update helps you review and fix invalid email addresses quickly and efficiently, ensuring that your emails can be delivered to your contacts.

Did you know you don’t have to be on the Contact Tab to see Contact Activity in Flexmls Pro? This means that whenever you decide to share listings or search results, and you go to the Select a Contact screen, you can always identify your most active contacts.

For the most part, this feature is already available on Flexmls Pro for Mobile Web, Android, and iOS; however, there are certain instances where the activity bar does not display for some contacts. On October 18, the activity bar will always display for all contacts, whenever you’re on the Select a Contact screen.

When Will It Change
This update will be available on October 18, 2018.

Who Will Be Affected
All users will have access to this on Flexmls Pro for iOS, Android, and Mobile Web.

What Will Change
Just as before, whenever you share a listing, collection of listings, or search results with a contact, you are asked to select a contact. On the Select a Contact screen, the blue bar next to the contact’s name represents how active the contact has been in the past week.

Contact Activity is determined by how many times the contact has viewed listings you’ve sent them (viewing listings from manual emails, subscription emails, and inside the portal all count toward Contact Activity). A quick look lets you see which contacts have been the most active in the past seven days.

Why Are We Making This Change
Knowing which contacts are actively viewing listings helps you prioritize your next moves and spend your time and resources more efficiently. This update makes the Contact Activity bar appear for all contacts whenever you are on the Select a Contact screen. It keeps the behavior consistent, regardless of which screen you are on when you decide to share listings.

Customer Flyers is a more descriptive name that immediately lets you know what you can create! Please note that only the name of the feature is changing, there are no changes in functionality.

When Will It Change
This name change will be available on October 25, 2018.

Who Will Be Affected
All users who currently have the ability to create and edit Tessera Reports will see the new label.

What Will Change
Only the name of the feature is changing with this update. To create or edit a Customer Flyer, use the Menu to find and select My Reports. You will see a section for any current Customer Flyers, or you can select New and choose the Customer Flyer option. Select a template to begin creating a new Customer Flyer.

Confidentiality and protection of your data, especially personal information, has always been a priority for FBS. The online world is at the start of a new era of data privacy and protection, as regulations are beginning to be prepared and enacted around the country and the globe. One such set of regulations is the European Union’s General Data Protection Regulation (GDPR). In order to address such regulations, Flexmls is introducing the following changes to the Flexmls System starting on October 18th:

  • In-app links to the Flexmls Privacy Policy
  • For consumers:
    • The ability to opt-in or opt-out of notification emails;
    • The ability to request their personal data that is stored in Flexmls;
    • The ability to request that their account be removed and all personal data deleted from Flexmls.

The changes being announced here are intended to help you, our customers, comply with privacy laws to the extent you use our software and services to collect or manage personally identifying information about your customers. Of course, as with all legal matters, you should consult with your own legal counsel on your compliance with the GDPR or any other privacy laws that may apply.

When Will It Change
This update will be available on October 18, 2018.

All Flexmls users and their clients will have access to these updates.

What Will Change
Your Access to the Flexmls Privacy Policy and Terms of Use
As before, you can access FBS’s Privacy Policy and Terms of Use from the links at the bottom of the flexmls.com login page. In addition, you will now be able to access these links from the bottom of the My Profile page in Flexmls. Use the Menu to find and Select My Profile. Links to the Privacy Policy and Terms of Use will be available at the bottom of the page. Note that the Terms of Use link will only be available for users who have purchased Flexmls IDX.

Portal: New Data Privacy Options
From inside the Portal, there will be several new Preferences available for your contacts. The location will vary by platform, but generally on the settings or preferences screen. The newest version of the Flexmls Portal is shown as an example.

To access their preferences, contacts can click their initials in the upper right and select the Preferences option.

There are several options for Messages/Notifications and Privacy: Receive Emails, Get Message Notifications by Email, Request Data, Remove Account, and Privacy Policy.

Receive Emails
This option allows the user to opt-in or out to receiving subscription updates. If the user is already receiving email updates for their subscriptions, this will be set to On. If it is currently Off, and the user toggles it to On, a notice will appear that lets them know they will receive an email that lets them opt-in to receive subscription updates via email.

Get Message Notifications by Email
When this is set to On, the user will receive an email notification whenever you respond to messages they’ve sent you from the Portal.

Request Data
If the user clicks this link, a popup will appear that lets them send you a request for their personal data that is stored in Flexmls.

After clicking Send Email, a confirmation will pop up to let them know the email has been sent. You’ll receive an email notification of the data request. The email you receive provides directions on how to get the contact’s data from Flexmls so you can send it to them.

Note: if your client is a resident of the European Union (EU) or European Economic Area (EEA), you will need to send them their personal data from Flexmls within 30 days of the request.

Remove Account
If the user clicks this link, a popup will appear that lets them send you a request to remove their personal information from Flexmls.

After clicking Send Email, a confirmation will pop up to let them know the email has been sent. Then you’ll receive an email of the request that provides you with a step by step walkthrough for removing them from Flexmls.

Note: if your client is a resident of the EU or EEA, you will need to remove their account from Flexmls within 30 days of the request.

Privacy Policy
If the user clicks this link, they’ll be taken to the FBS Privacy Policy page.

Why Are We Making These Changes
These changes are intended to give you and your clients better access to FBS’s Privacy Policy and Terms and Conditions. They also provide transparency so your clients can review the personal data that you have stored for them in Flexmls. Finally, these updates ensure that Flexmls complies with the General Data Protection Regulation, where applicable.

Starting on October 18th, the labels for Hot Sheet and Statistical gadgets will display additional information for location, property type, and other selected criteria on Flexmls Web. This will make it easier to see exactly which criteria the gadget is using. This is especially useful if your MLS has counties, cities, or overlays with the same name–the gadget will show which location is being used.

When Will It Change
This update will be available on October 18, 2018.

Who Will Be Affected
All users who have Hot Sheet or Statistical gadgets that are set to display specific locations or criteria.

What Will Change
As before, custom Dashboards allow you to specify locations and property types for Hot Sheet and Statistical gadgets (as allowed by your MLS). To select a specific location or property type, you can click the gadget’s More icon (three dots) and select Settings.

The label on each gadget will display more information about the location and criteria being used. Additionally, statistical gadgets will now display the specific property type that has been selected. In the example below, you can see that there are multiple locations for Barnstable (County, Town, Village and Map Overlay). Each gadget specifies which Barnstable location is being displayed.

As before, if the the gadget is using multiple locations, property types or search criteria, you can hover over the gadget’s label to view all of the fields it is using.

Why Are We Making This Change
This change makes it easier to identify what information is being used for Hot Sheet and Statistical gadgets. It also reduces potential confusion when looking at your gadgets, especially if your MLS has cities, counties, areas, or overlays that share the same names.

Starting on October 4th, it will be easier for administrators and assistants to remove incomplete listings on Flexmls Web. Anyone with access to edit a specific incomplete listing will be able to remove the incomplete listing. This will make the process of cleaning up unwanted, incomplete listings more convenient at all levels.

When Will It Change
This update will be available on October 4, 2018.

Who Will Be Affected
Any user who can currently edit incomplete listings on behalf of another user(s), will be able to remove those incomplete listings. This will primarily affect users who can add and edit incomplete listings on behalf of other users that are in their office, company, or MLS.

What Will Change
To remove an incomplete listing on behalf on another user, open the Menu to find and select My Incomplete. You will see a list of users and incomplete listings that you have the ability to edit. Select the listing you would like to remove and click the Remove button.

A prompt will appear asking you to click OK to delete the selected listing or Cancel in order to keep it. Click OKto remove the incomplete listing.

Please Note: Once a listing has been removed, it cannot be recovered; so this feature should be used with care.

Why Are We Making These Changes
This change makes it easier for administrators and staff to manage unneeded, incomplete listings. Currently, only the user who initiates adding a listing has the ability to remove the incomplete listing. This can be inconvenient when that user is not available to remove the incomplete listing, but it is still displaying in the office administrator’s list of incomplete listings (a situation that can arise when a member leaves an office). Now, it will be easy for Office, Company, and MLS-level administrators to remove such listings.

Starting on September 13th you’ll be able to select more listings with fewer clicks on Flexmls Web! Holding the Shift key while selecting two listings will also select all of the listings in between them. This means less time and fewer clicks are needed to select multiple listings from your search results. Once listings are selected you can email, print, or export the selected listings; save them as a listing collection; and more!

What Will Change
From any search results screen, select a listing, then press and hold the Shift key. Select another listing and all of the listings between the two selected listings will also be selected.

Why Are We Making These Changes
This change makes it easier to select a group of listings when viewing search results.

Starting on September 20th, whenever you create a new subscription, the notification options will be defaulted to the same selections you made the last time you set up a subscription in Flexmls Web. Defaulting to the most recently selected options makes setting up a subscription faster and more convenient.

When Will It Change
This update will be available on September 20, 2018.

Who Will Be Affected
This update will be available for all users when creating new subscriptions in Flexmls Web.

What Will Change
Whenever you create a subscription in Flexmls Web, the selected options under the Send notification of new listings to setting, will be saved. The next time you create a new subscription, it will default to using your most recent selections.

In the example above, the options to send listing updates to Selected contacts and Send me an email when a contact clicks the link are selected. The next time you start a new subscription, the same options will be selected by default.

Please Note: the option for Enable Preview Mode is not included with this update; instead, it will always default to unchecked. Additionally, if you check Preview Mode, then none of the other notification selections will be saved as defaults for new subscriptions. This is because using Preview Mode automatically makes certain selections about the recipients–those selections will not become the default for new subscriptions.

As before, there are four options under the Send notification of new listings to set:

  • You (sender) – You will receive an agent copy of the listing updates;
  • Selected contacts – The contacts listed in the Contacts bar will receive listing updates;
  • Send me an email when a contact clicks the link – When a contact clicks the link in the subscription, you’ll receive a notification that they’ve viewed the listing updates;
  • Enable Preview Mode – You must approve listings before they are sent to your contact. Note: this option will always be unchecked by default. You must manually enable it on a per-subscription basis if you wish to turn it on.  No notification options will be saved as defaults for new subscriptions when you use Preview Mode.

Why Are We Making These Changes
This change makes it easier to set up a subscription. Currently, many agents need to customize the notification settings each time they set up a subscription. With this new improvement, the system remembers the options you selected previously, so it will take fewer clicks to set up subscriptions.

Starting on August 30th, the process to switch between viewing listings as a list or on the map will be simplified, making it faster and more intuitive to switch between the List and Map Views when using Flexmls Pro for Android and Mobile Web. This change will also be available for your clients who are viewing listings on Mobile Web browsers.

When Will It Change
This update will be available on August 30, 2018.

Who Will Be Affected
All users who use Flexmls Pro for Android and Mobile Web will receive these updates and all clients who view listings from mobile browsers will also receive these updates.

What Will Change
When viewing listings in the List View, there will be a new, clearly labeled, Map icon at the bottom of the screen. Tap the icon to view the current listings on a map.

While on the Map, the functionality will be unchanged. You can use the Filter option to further refine your search, search within a hand-drawn area by using the polygon tool, or tap to preview a listing and scroll through its available photos while still on the map.

 

To leave the Map View and return to the List View, tap the X at the top of the screen.

Why Are We Making These Changes
This change is part of an ongoing effort to make using Flexmls Pro for Android and Mobile Web an easy and enjoyable experience. The ability to intuitively move between the List View and Map View provides a more user-friendly workflow for you (and your clients) when viewing and comparing listings.
